1. Initiator

Initiator Cyclis, located at 39A/1.02 Hendrik Van Veldekesingel in 3500 Hasselt, is a leasing company that supplies bicycles to companies and their employees in the context of mobility and flexible remuneration. www.cyclis.be

2. Purpose of the campaign

To inspire and motivate as many people as possible to cycle to work on Thursday 25 June 2020 or to go out for a bike ride if they work from home.

3. Purpose of the website

The purpose of the website is to gather registrations and to extract information from these registrations: where do cyclists live and how many kilometres do they cover riding their bikes.

All participants can sign up on the website, providing the following personal data: their name, company, post code, the number of kilometres and their e-mail address.

4. Copyrights

#icycletowork, Cyclis and Belfius shall have unlimited right of use of the images sent in to #icycletowork, via the various communication channels (online and offline) of #icycletowork for an unlimited period of time, without copyrights being due.

Participants are allowed to send in only images for which they hold all applicable copyrights. In this capacity, they also need to have the consent of all third parties who were involved in shooting the images sent in and/or the consent of third parties who believe they are in a position to assert any kind of rights over the said images.

The participants offer assurances that the images sent in by them are original and previously unpublished. It is unlawful for participants to copy existing work. All participants offer the organisers assurances that none of their images are open to appeal, legal action or claims invoking the right to exercise transferred rights.

5. Facebook / Instagram / Website / Mailings / #icycletowork

#icycletowork shall be free to post a selection of the pictures and videos sent in on its social media and those of its partners Cyclis and Belfius.

By using #icycletowork in his/her personal communication channels as well as by using the channels of #icycletowork, the participant gives permission, free of charge, for these creative contributions to be published and/or incorporated, without any restrictions in terms of duration or location, on the website(s) of #icycletowork and other online channels under the editorial responsibility of #icycletowork (regardless of whether or not these websites and channels have been adapted for mobile use), as well as to reproduce these images or cause them to be reproduced on any medium and to distribute these images or cause them to be distributed. The participant hereby affirms he/she holds all the relevant rights (intellectual property rights and personality rights) to permit such use of his/her creative contributions and shall defend, indemnify and hold #icycletowork harmless against all and any claims in connection with his/her creative contributions. All creative contributions must be original, created solely by the participant(s) and not incorporate material that is protected under copyright laws or any other rights owned by third parties (unless he/she holds all pertinent permissions from the rights holders as a required).

6. Charity and payments

Each participant is free to decide to donate the amount of money he/she saves by cycling into work that day (e.g. bicycle allowance, fuel, etc.) to the ‘Habbekrats’ charity.

From each payment received, € 0.18 is deducted as an administrative processing fee by Mollie. The remainder of the sum paid is transferred in full to Habbekrats. The sum total thus raised is used to donate bikes to children from disadvantaged backgrounds.

7. Data Processing

Data such as the post code and the number of kilometres are used only to locate the number of cyclists in Belgium and to display the number of kilometres on the general counter, which can be seen on the website. The e-mail address is used only to keep the participants up to date about the campaign, and future #icycletowork campaigns. Participants’ personal data are not used for commercial purposes. The data that are used for the payments are administered by an external payment service provider, Mollie (https://www.mollie.com).

There is an agreement with Belfius to exchange the data of Belfius employees. This only concerns the first and last name of people who have entered Belfius as company name. The e-mail address is only exchanged if an @belfius.be or @belins.be e-mail address is used.

8. Liability

Anyone who signs up to take part in the campaign hereby recognises and accepts the characteristics and limitations of the internet, in particular in terms of technical performance, the risk of malfunctions and – in a more general sense – the risks associated with logging on to the internet and the transmission of information. The data in question are not protected against hackers or against viruses on the network.

As such, the organisers waive all liability for any direct or indirect loss which participants may incur as a result.

Participants themselves should put in place all measures required to protect their personal data against all kinds of attacks and interference from third parties. Anyone signing up on https://www.icycletowork.be assumes full responsibility for doing so him/herself.

In the event of force majeure or unforeseen events, the organisers reserve the right to change the campaign or the way it is conducted. In this respect, the organisers shall be free to put in place all decisions they deem necessary, without any liability in such cases.

The organisers reserve the right to cancel the registration of individual participants, to bring changes to the campaign or parts thereof, and to postpone, shorten or withdraw the campaign or parts thereof where fraud is suspected. The organisers cannot be held to account for doing so.

9. Cookies & Privacy

We use technologies such as cookies and pixels to tailor content and advertising messages, deliver social media functions and to analyse website traffic. We also share data about the way you use our website with Google, Facebook and LinkedIn, with the aim of presenting you with personalised advertisements. The website information that is shared with Google, Facebook and LinkedIn is entirely anonymous to Cyclis.

The personalised advertisements only deal with bicycle leasing as part of the icycletowork campaign and are solely used by Cyclis to raise brand awareness of the Cyclis name and to persuade more people to ride to work by bike.

As a user of the website, you can choose not to share your user data via the cookie banner which is displayed when you visit the website for the first time.

Taking part in #icycletowork implies your unreserved agreement to and acceptance of all terms and conditions set out in this document.
